GameSearchHub Servers

Privacy Policy

This policy explains what personal data we process when you browse GameSearchHub Servers, create an account, publish or claim a server, vote, review, contact support, use Owner Hub, or purchase a subscription or promotion.

Effective and last updated: September 26, 2026

1. Scope and data controller

This policy applies to the GameSearchHub Servers module available at gamesearchhub.com, its owner dashboard, support features, and related communications. It does not govern independent game servers, Discord communities, websites, or services linked from a listing.

Controller and service operator: GameSearchHub

Privacy contact: support@gshservers.com

Account data

Name, email address, password hash, email-verification status, security settings, account role and status, and subscription state.

Social sign-in data

When you choose Google or Discord, we receive the verified email address and basic name needed to create or access your account. We do not receive your provider password.

DNS or server verification results, private evidence, reports, warnings, moderation decisions, risk signals, review notes, and related audit records.

Usage and interaction data

Full referring URLs and campaign values are not stored for source reporting.

Communications

Support tickets, replies, email correspondence, feedback, claim explanations, and information you send when exercising a legal right.

We receive data from you, your browser or device, Google or Discord when you use social sign-in, Stripe for billing events, public game-server queries, Discord's official widget or invite services when enabled by a server owner, and other users who submit reports or interactions.

Do not place confidential information, personal addresses, private access credentials, or personal data about another person in public listing fields. Public content can be viewed, indexed, copied, or shared by others.

3. Why we process data and our legal bases

Where we rely on legitimate interests, we consider the necessity of the processing, its effect on you, and safeguards such as hashing, access controls, rate limits and limited retention. You may object as described below.

4. Automated checks and moderation

We use automated rate limits, duplicate checks, server-status queries, risk indicators and Google reCAPTCHA to detect abuse and protect forms. These tools may block or delay a request, flag content for review, or require another attempt. Material listing, verification, suspension and account decisions can be reviewed by an administrator. We do not use automated decision-making that produces legal or similarly significant effects without appropriate human review.

5. Who receives data

We disclose only the data reasonably needed for the relevant service:

  • hosting, database, storage, security, monitoring and email-delivery providers that operate under our instructions;
  • Stripe for checkout, payment processing, invoices, fraud prevention and subscription management;
  • Google for Google sign-in, reCAPTCHA, Tag Manager, Analytics and Ads where enabled and permitted by your choices;
  • Discord when you choose Discord sign-in or when a public server profile requests official Discord widget or invite information;
  • administrators and authorised support or moderation personnel who need access for their role;
  • public visitors and search engines for information you deliberately publish;
  • courts, regulators, law enforcement, professional advisers, or a successor operator where disclosure is legally required or necessary to protect rights and safety.

Some providers may process data outside the European Economic Area. Where required, we rely on an adequacy decision, Standard Contractual Clauses, or another valid transfer safeguard. Third-party services may also process data as independent controllers under their own notices.

We do not publish private ownership evidence. It is stored on private application storage and is available only to authorised administrators.

6. How long we keep data

Account and active content

For the life of the account or listing, then deletion or anonymisation subject to legal, billing, security and dispute records that must remain.

Player-status snapshots

Raw snapshots are deleted after 90 days; aggregate counters may remain.

Profile-view records

Raw records are deleted after 180 days; aggregate counters may remain.

Join, click and vote records

Raw records are deleted after 365 days; aggregate counters and anti-abuse outcomes may remain.

Reviewed private ownership evidence

Evidence text and files are deleted 90 days after review. The decision, reviewer and timestamps remain as an audit record.

Unresolved private ownership evidence

The request expires and evidence is deleted after 180 days.

Support, reports and moderation

For as long as needed to resolve the matter, enforce rules, prevent repeated abuse, meet legal duties and establish or defend claims.

Billing records

For the subscription lifecycle and any longer accounting, tax, chargeback or statutory retention period.

Security logs and sessions

For the active session and a limited operational period appropriate to security and troubleshooting.

Deletion from live systems may not immediately remove data from encrypted backups; backup copies are isolated and overwritten through the normal backup cycle. We may retain a minimal record when required by law, to honour a suppression request, or to protect against abuse.

7. Your data-protection rights

Depending on applicable law, you may request access, correction, deletion, restriction, portability, or a copy of your personal data; object to processing based on legitimate interests; and withdraw consent at any time. Withdrawal does not affect earlier lawful processing. You may update common account and listing information in the dashboard and delete your account in account settings.

Send a request to support@gshservers.com. Describe the account or email concerned and the right you want to exercise. We may ask for proportionate verification before disclosing or deleting data. We generally respond within one month, subject to extensions permitted by law.

You may also complain to the data-protection authority in the country where you live or work, or where you believe an infringement occurred. A directory of EEA authorities is available from the European Data Protection Board.

8. Security, children and third-party links

We use access controls, password hashing, encrypted HTTPS transport, secure session settings, signed payment webhooks, rate limits, private evidence storage, and administrative audit records. No online system can guarantee absolute security. Please use a unique password and contact us promptly if you suspect misuse.

The service is not intended for children under 16. We do not knowingly request personal data from children below that age. A parent or guardian who believes a child supplied data may contact us for review and deletion.

Listings can link to independent game servers, websites, social networks and communities. Their operators decide how they process data, and their own privacy terms apply.

9. Changes to this policy

We may update this policy when the service, providers or legal requirements change. We will publish the revised date here and provide an additional notice for material changes where appropriate. Earlier processing remains governed by the policy and law applicable at that time.

10. Contact us
